What We’re Looking For:
The Talent Operations Specialist is an integral member of the Talent Acquisition team, supporting both operational excellence and an exceptional candidate experience. This role manages all aspects of pre-boarding and hiring administration while serving as a key partner to Recruiters, hiring teams, and new hires. The ideal candidate is highly organized, proactive, and experienced in platforms such as Breezy HR, Accurate, and ADP Workforce Now. They will ensure a high-touch, efficient, and positive journey for every candidate from offer acceptance through onboarding.
What You’ll Do:
Pre-Boarding & Compliance
- Coordinate and manage all pre-boarding tasks to ensure readiness for each new hire’s first day.
- Initiate and monitor background checks, drug screens, I-9 verifications, and other compliance steps.
- Ensure all required pre-employment documents are collected, complete, and accurate.
- Maintain compliance with federal/state regulations and company policies regarding hiring documentation.
Candidate Experience & Communication
- Act as a dedicated point of contact for candidates post-offer to guide them through the pre-boarding process.
- Provide clear, friendly, and timely communications to ensure candidates feel informed and supported.
- Anticipate and resolve candidate inquiries or challenges quickly and empathetically.
- Collaborate with hiring managers and recruiters to personalize welcome experiences and touchpoints.
- Help uphold SuperCare Health’s reputation as an employer of choice by delivering a warm, engaging, and professional onboarding journey.
Recruiter & Hiring Team Support
- Partner closely with Recruiters to streamline pre-hire tasks and ensure alignment with hiring timelines.
- Monitor progress of candidates in Breezy HR and flag delays or issues requiring attention.
- Assist with interview scheduling coordination, job posting support, and candidate correspondence when needed.
- Help ensure recruiters have accurate and timely updates for reporting and pipeline tracking.
Systems & Data Management
- Maintain accurate candidate and new hire records in Breezy HR and ADP Workforce Now.
- Update status changes, document uploads, and onboarding progress in real time.
- Support system audits and generate reports as needed for internal stakeholders.
Cross-Functional Coordination
- Liaise with Payroll, IT, Benefits, and Facilities teams to ensure a seamless onboarding setup (e.g., email, equipment, payroll setup).
- Prepare and distribute new hire welcome packets, credentials, and training information.
- Contribute to continuous improvement projects that enhance process efficiency, compliance, or candidate satisfaction.
This role may be a fit if you have..
- 1+ year of experience in Human Resources, Talent Acquisition, or related operations support.
- Proven ability to manage high volumes of administrative tasks while maintaining accuracy and professionalism.
- Excellent written and verbal communication skills, with a service mindset and candidate-first approach.
- Strong problem-solving skills, with the ability to troubleshoot independently and escalate when appropriate.
- High level of discretion in managing confidential and sensitive information.
- Hands-on experience with Breezy HR and ADP Workforce Now.
- Experience working in healthcare or a regulated industry.
- Familiarity with onboarding workflows and employment eligibility verification (e.g., I-9, E-Verify).
